Certificates of Insurance

A Certificate of Insurance is a document issued by an insurance broker used to verify the existence of insurance coverage under specific conditions granted to listed individuals. More specifically, the document lists the effective date of the policy, the type of insurance coverage limits and term of coverage.

In the course of production, locations, as well as vendors and film permit offices will ask to supply them with Certificates of Insurance.

IT IS IMPORTANT TO FIND OUT EXACTLY WHAT IS BEING REQUIRED OF YOU.
Review hold-harmless and indemnity clauses carefully – as if you had no insurance. Realize that insurance merely guarantees that you can pay to indemnify and hold harmless another party. However, your insurance may not cover all of the situations for which you are holding the other party harmless even when they are included as an Additional Insured. The Certificate Holder is an additional insured solely with respect to your negligence. Any other contractual liability obligations must be cleared with the Insurance Company.

Before requesting a Certificate of Insurance, you should be prepared to provide the following information:

  • The full and accurate name, mailing address, telephone and fax number of the Certificate Holder. It is also helpful to have a person’s name to direct it to.
  • The requirement of the Certificate Holder as respects the amount of insurance, it must include the type of insurance coverage being requested.
  • The specific wording required, such as an “Additional Insured” and/or “Loss Payee” by the Certificate Holder (see certificate request form).

NOTE: Governmental Agencies, Municipalities, School Districts Museums and Historic Sites often have very specific forms and wording that must be on the Certificate in order for them to accept it. Take extra steps to secure a copy of their requirements. In some cases an additional premium may be charged.
